CareAR Link Updates
CareAR is changing the way we handle links for Instruct experiences. These changes will require action to be taken by your users before August 25, 2025.
CareAR previously used a third-party service for managing our links. That service is going to be shut down on August 25, 2025. As a result, we have built our own link handling system. In some situations, you may need to perform an action to avoid service interruptions.
CareAR Instruct Links
Links to experiences were updated in the previous release, v.24.02, of the CareAR platform. For those experiences that were created with 24.02 and after are not impacted. If you have experiences that were created prior to the release of 24.02, you will need to update these links in order to avoid service disruption on August 25, 2025, when the old links stop working. To ensure continuous options, please follow the following steps before August 25, 2025:
Migrate to CareAR app
The standalone CareAR Instruct app will stop working on August 25, 2025. No further updates are planned for the Instruct app and users must migrate to the CareAR mobile app. Contact CareAR support (service@carear.com) to enable your CareAR tenant to switch from Instruct to the newer CareAR app.
Check for impacted experiences
Access the Experience builder to see if you have any impacted experiences. Experiences that have old links requiring update will have a yellow indicator on the QR code for the experience.
Assess all the experiences and determine which experiences have links that require updates. Understand which experiences may have had links that have been distributed externally to CareAR such as having QR codes printed and posted or have links shared via web page. It is important to put a plan in place to update the QR codes and links after new links have been generated.
Regenerate experience links
When ready, it is time to regenerate the experience links for those that contain old links. If you have any impacted experiences, you will need to re-generate link and QR code for each impacted experience. Navigate to Content -> Experience Builder. Next to each experience click on the ellipsis to open the menu and click Regenerate link. This will create a new links for the experience and a new QR code. You can copy these and distribute.
NOTE: Regenerating a new link does not invalidate the old link. Should you have an old link stored somewhere it will continue to work until August 25, 2025.
Update disseminated QR codes and links
If you have printed or distributed QR codes that contain old links, you will need to replace the old QR codes with the newly generated QR codes. Similarly, if you have distributed experience links, such as to a website, knowledgebase, etc., those old links should be updated with new links.
NOTE: Old links will continue to work until August 25, 2025.

Q: What is changing?

A: It is difficult to predict the future, but CareAR has developed our own link handling system, so we are no longer dependent on a third party. This gives us full control and the flexibility to adapt to nearly any needed changes transparently. Our goal is to never require users to make changes again.
Instruct FAQs
Q: What is specifically impacted by these link changes?
A: CareAR Instruct experiences are accessed via a link. This link needs to be updated to the new link structure for each experience.
Q: Do all experiences need to have their links updated?
A: Experiences that were created prior to CareAR 24.02 platform release will need to be updated. Any experiences created with 24.02 or later already have the new link structure.
Q: How can I know if an experience needs the link to be updated?
A: When you login to the CareAR admin portal and go to Content -> Experience Builder you will see the list of experiences in your CareAR tenant. The QR code system will have a yellow indicator symbol to show the experience requires updating.
Q: I have experiences that need to be updated, how do I do this?
A: To regenerate the link for an experience, login to the CareAR admin portal and go to Content -> Experience Builder then click on the ellipsis menu for the experience and select Regenerate link. The link will be instantly updated and a new QR code will be generated for the experience. We recommend contact CareAR Customer Success team or CareAR Customer Support to asset your migration.
Q: Will my old QR codes need to be replaced?
A: Yes. If the experience was created with an old link, the associated QR code needs to be updated. The QR codes generated by the CareAR platform simply contain the experience link encoded within them. So, to ensure your QR codes contain an accurate link, you need to update any QR codes you have distributed to end users. When you regenerate the experience link, a new QR code also created.
Q: Once I replace my old QR codes and links with new QR codes and links, will the old QR codes and links still work?
A: Yes. We will maintain the old link internally associated with the Experience – even after you regenerate the Experience link. As mentioned, the old link will stop working on August 25, 2025.
Q: Will I need to update my mobile app to view the experiences?
A: If you are still using the stand-alone CareAR Instruct mobile app it will no longer work on August 25, 2025. You should migrate to the CareAR mobile app. Please contact CareAR customer support (service@carear.com) to change your tenant to use CareAR app for experiences
Audit logs
Overview
This feature provides support for audit logs in the admin portal so that tenant administrators can see what activities have happened on their tenant. This phase of the capability will show configuration changes and basic user activity on the portal. We also include system changes, and any provisioning change invoked via the provisioning API. User activity via the apps and clients is not in scope for the audit logs feature.
The audit logs are categorized as:
- User administration
- User access
- Experiences
- Connector Center
- Surveys
- Administration settings
- Provisioning API
Note that logs are only generated for tenant portal actions that happen once the platform is upgraded to release 24.03. No activity is logged as an audit log prior to the platform upgrade to release 24.03.
Admin Portal Enhancement
We have modified the Administration screen of the CareAR admin portal to allow tenant administrators to view the tenant’s audit logs.
The audit logs are loaded chronologically (with newest log at the top) using our conventional table format. Each column of the audit log table corresponds to each field in the audit log.
Note that the audit logs are system generated and are not manipulatable by any user.
Audit Log Format
Each audit log includes the following fields:
- date
- time
- username of user responsible for action
- for system events, as in automatic expiration of the tenant, the user “System” is used
- for provisioning actions via the provisioning API, the user “Provisioning API” is used
- for actions via the super-admin interface, the user “CareAR Operations” is used
- event category {user administration, user access, experiences, connector center, surveys, administration settings, provisioning API}
- event description
Even if an account is removed, the user responsible for the event will be stored and presented.
Presentation Options
By default, the presentation of the audit logs is in chronological order, presenting the newest log first.
The tenant admin can sort based on field, filter based on event category, and if groups are defined and used, filter based on user group.
Also, the tenant can focus on the time frame of interest per our standard table options (Last 7 days, Last 30 days, Last 12 months, Custom date range).
Audit Log Export
Tenant admins can export the audit logs based on the presentation option set when the EXPORT button is clicked. The logs are then exported to a CSV file with file name format, AuditLogs_YYYYMMDD_HHMMSS .
Data Retention Settings
Data retention period for the audit logs is configurable by clicking the SETTINGS button. The units are in days, with a range of 30 to 180 days. The default setting is 90 days. For logs that are older in age than the value specified for the data retention, the system removes those older logs.
Notes on GDPR's Right to Be Forgotten
For the occurrence that a CareAR user wishes to be forgotten in accordance to the GDPR, once the “forgotten” action is taken by CareAR Operations, for any audit log attributed to that user, CareAR overwrites the username with the user’s GUID.
Experience Auto-Save
With the release content creators working with Experience Builder will have their content automatically saved while working. The auto-save feature constantly syncs changes within the Experience Builder with a draft copy in the CareAR cloud. This autosave provides benefits such as 1) work is not lost if the content creator accidently closes their browser tab before publishing, 2) content creators cannot work on a draft that is incomplete while not affecting the published version, and 3) other content creators can review the edits made and provide feedback prior to publishing.
How does it work?
When content creators are working within the Experience Builder all changes are continuously synchronized with a draft of the experience. This draft is separately maintained from the published experience. The content creator can make changes to the draft experience without affecting the published experience in any way. This means the content creator can also allow other content creators to review the draft and make changes.
When the experience is published, the draft experience is copied to the published experience and available for users to access. Once published, the new experience is instantly available for all users who can access the experience.
NOTE: Each translation is handled independently with its own draft and published version. Therefore, to make all translations live, you need to publish each one.
New Text Formatting
With this release content creators now have more options for formatting text styling within their experiences. The text element editor now has more formatting tools for content creators. These include:
- Font selection – Choose from 9 different available fonts.
- Font size – The size of the font can be selected with support for font size from 8 to 96.
- Font / Highlight color – Choose desired color for the font or highlight color. Content creators can choose from a color picker or enter color value.
- Nested Lists – Combined numbered and bulleted list with numbered lists and bulleted sub-list items.
- Inline images – Insert small images inline in text to depict symbols in text. Images are limited in height to text height.
- Input box resizing – Resize the input box when working with large volume of text on a page by click + drag action.
Intelligent Search Updates
With this release the AI Services tab in the admin portal now contains a new item, Intelligent Search Legacy. The Intelligent Search Legacy menu item contains the legacy CareAR Intelligent Search indexes. This was introduced in order to facilitate administrators and content creators with recreating their indexes in the new Intelligent Search service. CareAR will be deprecating Intelligent Search Legacy at the end of 2024.
Migrating from Legacy to Intelligent Search
The CareAR Customer Support and Customer Success teams are available to help with any migration. To migrate from Intelligent Search Legacy follow these steps:
- Inspect Legacy Indexes – Review the indexes that are setup in Intelligent Search Legacy. Note the website URL of the website used for the index.
- Create New Indexes – Replicate indexes from Legacy into Intelligent Search.
- Update Experiences – Update each experience that has search enabled and change out the search index from the Legacy search index to the newly created search index.
- Disable Intelligent Search Legacy – Once all the experiences have been updated and are no longer using Intelligent Search Legacy Indexes, contact CareAR Customer Support (service@carear.com) to shutdown the Intelligent Search Legacy service for your tenant.
3D Player - Support animated GLB playbacK
GLB files uploaded to the Experience Builder that contain animation will display when a user views the 3D model. This provides the ability to show dynamic 3D content with motion to better communicate complex concepts to users. There is not configuration required to display the animation, but the GLB should not contain more than one animation. If multiple animations views exist in the GLB file the first one encountered will be displayed.
